The phone rings after everyone has gone home.

A patient hurt their back moving a couch. It’s late, it hurts, and they’ve finally decided to book.

They call your clinic. It goes to voicemail.

Plenty of people hang up instead of leaving a message, and in the morning they book with whoever answered. The same thing happens over lunch, on a busy Monday, and every time the front desk is already on the other line.

You never see the call you missed. That’s what makes it expensive.

It answers at 2:14 a.m.

Every call picked up, day or night, by a receptionist trained on your clinic: your services, your hours, your booking rules. It books into the calendar you already use. On Jane App, your staff confirm each booking in one click.

When they switch language, it switches too. ويتكلم العربية.

English, French and Arabic, plus Mandarin, Punjabi, Cantonese and others for clinics that need them. Mid-call, without a transfer. A native speaker tests every language before it takes a patient’s call.

Sample call. Clinic, patient and appointment are illustrative.

Receptionist: Thanks for calling Cedar Physio — this is Layla, the after-hours assistant. How can I help?

Patient: Hi, I'm hoping to book a physio appointment. I've had lower back pain for about a week.

Receptionist: Sorry to hear that. Are you a new patient with us, or have you been before?

Patient: New patient.

Receptionist: Got it. Quick question — do you have extended health benefits, or are you covered through ICBC for an injury?

Patient: Extended health — Sun Life.

Receptionist: We direct-bill Sun Life — usually nothing out of pocket depending on your plan. I have Tuesday at six p.m., or Thursday at five-thirty — both at our Burnaby clinic. Which works?

Patient: Tuesday at six.

Receptionist: Booked. You'll get a confirmation text in a moment with the address and the intake form. One last thing — would you prefer reminders in English or French?

Patient: English is fine, thanks.

Receptionist: Perfect. See you Tuesday.

Result: booked Tuesday 6:00 p.m., direct-billed to Sun Life, confirmation text sent.

How it works

From a free check to measured results.

  1. 01

    Free after-hours check

We ring your line after hours and show you what a caller hears. It costs nothing and no patient is involved.

  2. 02

    30-min fit call

We go through your numbers with every assumption written down, and say plainly whether KindLoops fits. If it doesn’t, we don’t start.

  3. 03

    Live in 30 days

Trained on your services, hours and booking rules. Your team signs off on every answer it gives.

  4. 04

    Measured every month

A monthly report sets the projection against what happened. If we fell short, it says so first. Full refund for your first 14 days.

Eight systems. Each one moves one number.

We start where the leak is biggest, usually the phone, and add the next system only when the first one is earning its keep. A person reviews every system before it reaches your patients.

Your numbers · a monthly report · an off-switch

We show the math, then we show the result.

Every engagement starts with a conservative projection built from your own numbers. If it isn’t clearly positive, we won’t start. Every month you get a report that sets the projection against what actually happened, with the difference explained.

  1. You see the math.Every projection uses your numbers, with every assumption written down.
  2. You approve what it says. The receptionist answers only from information your team has signed off on.
  3. Your staff stay in control.Anything urgent, clinical or sensitive goes straight to your team. It never gives medical advice.
  4. Bad news comes first. If a system is under-delivering, the monthly report says so before you ask.
  5. You can stop any month. An off-switch on every system, no penalty, and you keep the written playbook.

Questions clinic owners ask

What does KindLoops do?

KindLoops builds AI systems for independent BC clinics, led by a multilingual AI voice receptionist that answers every call, books appointments into the calendar the clinic already uses, recovers missed calls and sends anything clinical to staff. Every system is measured monthly against the clinic’s own baseline.

Which clinics is it for?

Independent physiotherapy and dental clinics in Metro Vancouver first, plus eye care, medical aesthetics and chiropractic clinics across British Columbia, usually with three or more practitioners.

Does it work with Jane App?

Yes. It books into the calendar the clinic already uses. On Jane App, staff confirm each booking in one click.

Which languages does the receptionist speak?

English, French and Arabic, plus Mandarin, Punjabi, Cantonese and others on request. It switches language mid-call without a transfer, and a native speaker tests each language before it takes a patient’s call. Our first clinics go live in English, with other languages added once they pass that test.

How is it priced?

$495 a month flat for our first 5 clinics, with no setup fee and 800 voice minutes included. Billed on day 1, with a full refund for 14 days. The price is locked for 12 months in exchange for a case study with your real numbers. Month-to-month.

Is patient information kept private?

Every build ships with a BC privacy (PIPA) pack. The receptionist answers only from information the clinic has approved, never gives medical advice, and client data is never used to train models.
